Job Overview:

As the P.A. and Office Manager at Omar Park Homes, you will be responsible for supporting day to day operations, providing PA support to the Chairman, CEO and Group Directors, and coordinating administrative activities for the Board.  You will play a key role in meeting coordination, travel arrangements, and showground management.  Additionally, you will oversee the office cleaner and ensure a welcoming and efficient front office environment.

Key Responsibilities:

  • PA Support
    • Provide comprehensive PA support to the senior management team, including the Chairman and CEO.
    • Manage and prioritise executive schedules, including arranging meetings, appointments, accommodation, and handling correspondence.
  • Board Administration & Minute Taking
    • Coordinate Board and senior management meetings, including scheduling, agenda preparation, and distribution of meeting materials.
    • Take accurate and detailed minutes during Board meetings and distribute them to the relevant stakeholders.
    • Ensure follow-up actions from meetings are completed in a timely manner.
  • Meeting Coordination
    • Organise and coordinate internal and external meetings, including logistics, catering, and room setups.
    • Prepare meeting agendas and materials, and ensure all necessary resources are available.
  • Travel Arrangements
    • Arrange travel itineraries, including flights, accommodations, and transportation for senior executives.
    • Ensure travel arrangements are cost-effective and meet the needs of the executives.
  • Showground Coordination
    • Oversee the coordination of showground activities, ensuring the homes are well-maintained and meet company standards.
    • Liaise with the sales and marketing teams to organise events, promotions, and visitor activities.
  • Office Administration
    • Manage office supplies and inventory, ensuring that the office environment is well-stocked and organised.
    • Implement and maintain office policies and procedures to ensure efficiency and compliance.
  • Reporting
    • Provide regular reports on office activities, including operational performance and any issues requiring attention.
    • Assist with administrative tasks related to company reporting and compliance.

Requirements:

  • Minimum of 5 GCSEs including English and Maths at grade C/4 or equivalent.
  • Relevant qualification in business administration or a related field is desirable.
  • Proven experience as an Office Manager or in a similar administrative role, including experience in PA support.
  • Experience in Board administration and minute-taking is highly desirable.
  • Demonstrated ability to manage multiple tasks and priorities effectively.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to handle sensitive information with discretion and professionalism.
  • Proactive and solution-oriented with a high level of attention to detail.
  • Strong interpersonal skills with the ability to work effectively with senior executives and team members.
  • Capable of maintaining a calm and professional demeanor in a fast-paced environment.
